Money

Set your fee items. Parents do the rest.

You decide what the school charges, per class and per term. A parent picks their child's items, pays by card or uploads a transfer receipt, and the gate reads clearance off the same balance.

The fees screen in the Chalka Staff app: 29.1 million naira verified against 9.3 million outstanding, 411 of 452 students cleared, and the families still owing listed underneath.
A pending receipt in the Chalka Staff app: the parent claims 185,000 naira against a 285,000 naira bill, with buttons to reject or verify.
How it works

From your fee list to a cleared child.

  1. Step 01

You list what the school charges

Tuition, bus, uniform, exam fee. Each item is per term or per session, mandatory or optional, and can carry a different price for each class.

  2. Step 02

    The parent requisitions

Mandatory items are already in. The parent adds the optional ones their child needs and submits. That total becomes the amount due.

  3. Step 03

    The parent pays, you confirm

Card payments land on their own. A bank transfer arrives as a receipt in your bursar's queue, and the balance moves when she verifies it.

Built for how schools here charge

Nobody charges one flat fee.

Different prices per class. Half the list optional. Most families paying in parts. Your fee structure goes in the way you already run it.

Per class

One item, many prices

A JSS 1 uniform and a Primary 2 uniform are not the same money. Give an item a price for each class and it only appears for those classes.

Per session

Termly, or once a year

Tuition comes round every term. A development levy does not. Mark which is which and the once-a-session items stop appearing after they are paid.

Part paid

Instalments, kept apart

Two or three payments against one bill is normal here. Each is recorded on its own, and the balance is whatever is left after the ones your bursar verified.

Straight answers

What proprietors ask about the money.

Do you hold our money?
No. Card payments run through Paystack into your school's own subaccount, so they settle to your bank and not ours. You add those details once. A bank transfer never touches us at all: the parent pays you directly and puts the receipt up against the bill.
A parent paid cash at the office.
That one is still clumsy, so we will say it plainly. Every payment hangs off the parent's requisition and it is the parent who attaches the receipt, so a cash payment means your office issues a receipt and the parent uploads it. Better you hear that now than in week two.
Can we hold a child at the gate over fees?
Only if you switch it on. Fee checking at the gate is off until you turn it on, and you choose the share of the bill that counts as cleared, anywhere from nothing up to the full amount. A new term puts everyone back to uncleared.

See it with your own fee list.

Fifteen minutes, no cost. Bring one term of your own items and we will set them up while you watch.
